Cadynce Software ("Cadynce," "we," "us," or "our") is committed to protecting the privacy of our users. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our web application and related services (collectively, the "Service").

By accessing or using the Service, you agree to the terms of this Privacy Policy. If you do not agree, please do not use the Service.

2. Information We Collect

Account Information

When you create an account, we collect your name, email address, and password. If you sign up via Google OAuth, we receive your name, email, and profile photo from Google.

Organization Data

Data you and your team enter into the Service, including goals, to-dos, issues, scorecard metrics, meeting notes, vision plans, and organizational structure. All data is scoped to your organization and is not shared across organizations.

Usage Data

We automatically collect information about how you interact with the Service, including pages visited, features used, browser type, device type, IP address, and timestamps. This data is collected via analytics tools and server logs.

Payment Information

If you subscribe to a paid plan, payment processing is handled by Stripe. We do not store your full credit card number. We receive and store your Stripe customer ID, subscription status, and plan details.

3. How We Use Your Information

We use your information to:

  • Provide, maintain, and improve the Service
  • Authenticate your identity and manage your account
  • Send transactional emails (welcome emails, meeting reminders, to-do due date reminders, weekly digests, team invites)
  • Process payments and manage subscriptions
  • Monitor for errors and performance issues (via Sentry)
  • Respond to support requests
  • Enforce our Terms of Service

4. Data Sharing and Disclosure

We do not sell your personal data. We may share information with:

  • Service Providers: Supabase (database and authentication), Stripe (payments), Resend (email delivery), Sentry (error monitoring), and Vercel (hosting). These providers process data on our behalf under their respective privacy policies.
  • Your Organization: Data you enter is visible to other members of your organization based on their role and permissions.
  • Legal Requirements: We may disclose information if required by law, legal process, or governmental request.

5. Data Security

We implement industry-standard security measures, including:

  • Encryption in transit (HTTPS/TLS) and at rest
  • Row-Level Security (RLS) policies ensuring organization-level data isolation
  • Role-based access controls (owner, admin, member, viewer)
  • Rate limiting on API endpoints
  • Security headers (HSTS, X-Frame-Options, Content-Type-Options)

No method of transmission or storage is 100% secure. While we strive to protect your data, we cannot guarantee absolute security.

6. Data Retention

We retain your account and organization data for as long as your account is active. If you delete your organization, all associated data is permanently removed. You may request account deletion by contacting us.

7. Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data
  • Opt out of non-essential emails (via unsubscribe links in every email)
  • Export your data (CSV export is available for goals, scorecard, and to-dos)

8. Cookies and Tracking

We use essential cookies for authentication and session management. We may use analytics cookies (Google Analytics) to understand usage patterns. You can disable cookies in your browser settings, though this may affect functionality.

9. Children's Privacy

The Service is not intended for individuals under the age of 16. We do not knowingly collect personal data from children. If we learn that we have collected data from a child under 16, we will promptly delete it.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on this page with a revised effective date. Your continued use of the Service after changes constitutes acceptance of the updated policy.
